HYBRID, REMOTE AND FLEXIBLE WORK FAQ’S
I will be hiring a new employee soon. When is a new employee eligible for a Hybrid/Remote/Flexible Work Arrangement?
Each division will be establishing the onboarding and alternative work requirements for their new hires on a case by case basis. New employees may benefit from a period of work on campus before a determination is made. There will be expectations that even fully remote employees may need come to campus from time to time. Travel, frequency of being on campus, etc. will be determined by the manager and business/departmental needs.
Can a manager deny a request for a Hybrid/Remote/Flexible work arrangement? Is there an appeal process?
A manager can deny a request for a Hybrid/Remote/Flexible arrangement following the review of the business need, the job description, and the performance of the employee. Your senior officer has final decision-making authority regarding the ability for an individual to work an alternative work arrangement.
Can a manager set the days that can be worked at home?
Yes, based on department and business need. For example, not all employees can work from home on Fridays, as the College’s regular business hours for offices include Monday to Friday, 8:30 am to 5:00 pm.
Can a Hybrid/Remote/Flexible work arrangement end at any time?
Yes, generally employees will have at least 7 days and a maximum of 30 days to comply with the end of an arrangement.
How should managers track absences for employees who work Hybrid or Remote?
Absences should be recorded in the same manner as if the employee was working on campus. Sick time, vacation time, Family Care Absence or Personal Emergency time must be recorded in Workday as usual in keeping with College policy. Hybrid/Remote work is not to be used as a medical accommodation, for a workers’ compensation injury, for Family Medical Leave to care for sick children or family members, or in situations of personal illness/disability. All requests for medical accommodation, FML or disability related leave must continue to go through Human Resources.
How do I address questions regarding working while providing childcare?
Working from home takes the same concentration, confidentiality, and effort as well as 8 hours/day that working on campus requires. If you are caring for children, their care can be distracting and take time away from work duties, especially if children are younger and not self-sufficient. The College provides generous leave time (Vacation, Maine Family Care, etc.) for the care of dependent children. Working from home is not intended for the purposes of childcare.
Why do I have to work from home during a weather emergency when others who can’t work from home get paid to stay home?
All employees who are able to work from home, even if they normally work on campus, will be expected to work from home during a weather emergency. If you elect not to work from home or need to care for children who are home, record vacation time for that day. Only non-essential employees who have positions that do not allow them to work remotely will be paid to stay home in a weather emergency.
What IT equipment am I entitled to if I work from home either regularly or occasionally?
Please refer to the IT technology setup information for regular hybrid and fully remote employees (). And remember that your work computer is not to be used by household members.
Can a flexible work arrangement contain a varied amount of scheduled weekly hours worked in a given week?
No. The staff member must work their scheduled weekly hours in each week or use the appropriate time off to make up the difference. You can find an employee’s scheduled weekly hours in Workday (click on employee Overview then click on their Position). The job classification field in Workday contains the 含羞草研究室 FTE and the weeks per year for each employee.
How do I know if my home office is set up ergonomically correctly?

If an employee is completely remote, will their information still show in the campus directory?
The employee’s name, title, department, and telephone number will show in the directory. Their office or workspace on campus will not contain any information.
What tips do you have on effectively managing flexible/hybrid work?

Will each department create their own guidelines based on the new College policy?
Many senior officers will/have developed specific guidelines for their divisions. Department heads should check with their senior officers to see if guidelines have been issued and/or adopted.
If you can work a flexible schedule of 4 ten-hour days, can you still “flex” the days of the week depending on the needs of the business?
Yes, supervisors and managers may approve the ability of employees to occasionally change or adjust the days of the week they are working.
Why can’t employees work fully remotely in any state?
Employment laws and tax regulations vary widely from state to state. 含羞草研究室 is registered as an employer in a few states (MA, NY, NC, VA, MD, MN, NH) other than Maine. Employees are not authorized to work in states in which we are not registered since their earnings would then be subject to the individual state’s tax laws. Due to the complexities involved with being a multi-state employer, no additional states will be added.
I have an employee working remotely in Maine. Can they temporarily travel to another state in which 含羞草研究室 is not registered as an employer and work for a couple of months out of the year without paying taxes in the other state?
No. Even working as little as 14 days in some states makes the employee liable for that state’s taxes. Each state has different rules, so other than the approved states, an employee cannot work for extended periods in another state, without Human Resources approval. Employees who are working remotely in Maine should be prepared to be called into campus with little notice.
I currently work remotely in Maine, can I also work for another employer during the day?
No. 含羞草研究室 expects that even though you are working remotely without direct in-person supervision, you will be working your regularly scheduled weekly hours for the College. Employees who are working remotely in Maine should be prepared to be called into campus with little notice.
I am a support staff employee currently working a hybrid schedule, can I work one of my days on a Saturday or Sunday?
Most support staff who regularly work weekdays (M – F, 8:30 am – 5:00 pm) will be required to work their hybrid schedule only on weekdays as well. Support staff (dining, security, facilities) who ordinarily work one or both weekend days as part of their regular on campus schedule may have a hybrid schedule that includes weekend work.
I work on campus but will need to work at home next Tuesday afternoon, do I need to request an alternative work arrangement in Workday?
No, you do not need to request an alternative work arrangement in Workday for an occasional change in your schedule. But you must still get approval of your manager for these occasional schedule changes.
I work two days a week in the office, why is my manager telling me I will lose my office space?
Office space on campus is very limited, some areas may only allow employees who work 3 or more days in the office to be assigned personal office space. Otherwise, those who work on campus 2 days or less may have to use hoteling space that is available in certain areas and that can be reserved in advance.
What is “hoteling space”?
Hoteling space is space that will be available in offices around campus that is set up for flexible daily use. The space is not for personal belongings and is scheduled for short term use. There will be more information about these spaces available in the next several weeks.
