Academic Advising |
The area of Workday that facilitates communication of academic progress across the institution, students and advisors. |
Academic Affiliate |
Individuals who work at an educational institution but aren't in an employment relationship with the institution. They're usually visiting professors or scholars. In Workday, academic affiliates only exist in the context of academic appointments. Academic affiliates hold academic appointments but aren’t paid and don’t have positions or supervisory organization assignments. |
Academic Appointment |
An academic appointment tracks a faculty member's time at 含羞草研究室. Academic appointments record a faculty member's relationship to an Academic Unit, over a period of time, on a particular academic track. In Workday, faculty must be given an Academic Appointment to allow them to be linked to a course section as an instructor and/or linked to anything related to that course. |
Academic Calendar |
An academic calendar serves as a template that defines the standard format for an academic year, for example, a fall and a spring semester. The academic calendar must be established to create academic years (1918-1919) and academic periods (Fall 1918). |
Academic Date Range |
Counterintuitively, the Academic Date Range is the period of time associated with an admissions student recruiting cycle. |
Academic Foundation |
The foundational components and structures used throughout Workday Student, such as programs of study, academic calendars, date controls, and more. |
Academic History |
All of a student's attempted or completed courses and grades, including transfer credit, and their GPA. |
Academic Level |
Academic levels are the education objectives (aka the degree) that a student can achieve at your institution. Examples include undergraduate, graduate, professional, associate, or continuing education. 含羞草研究室 uses the Undergraduate and Non-Degree academic levels. Levels are associated with students, programs of study, courses, course sections, and academic policies. |
Academic Period |
Typically referred to as a semester or term, Academic Periods are a standardized length of time with defined start and end dates. 含羞草研究室 has four academic periods: fall, intersession (winter), spring and summer, though classes are only held in fall and spring. |
Academic Plan |
Academic plans are a tool to help students plan out which courses they should take during which academic period to satisfy the academic requirements for their program of study. |
Academic Progress |
Sometimes referred to as a degree audit, a list of requirements to complete the student's program of study. The report indicates which requirements are satisfied, in progress, or not yet satisfied. |
Academic Record |
An academic record is a collection of a student’s academic and academic-related activities. |
Academic Requirement |
Academic requirements define what a student needs to do to complete a program of study. Academic requirements enable advisors, staff and students to track and verify a student’s progress towards completing their program of study. |
Academic Staffing |
In Workday, Academic Staffing is made up of the “Academic Appointments,” “Academic Pay,” and “Period Activity Pay” concepts. Academic Staffing encompasses much of what is commonly referred to as the "Faculty Lifecycle." |
Academic Unit |
An academic entity at 含羞草研究室, such as an academic department. Academic units contain programs of study, courses, and course sections. |
Academic Year |
For 含羞草研究室, the academic year comprises the fall, intersession (winter), spring, and summer academic periods in that order. |
Active Record |
A student’s record is active if it is available for transactional processing in Workday. Examples of transactional processing include registrations, applying payments, and assigning a grade to a student's record. |
Addable (addable program of study) |
Addable refers to a configurable trait of a non-primary program of study in relation to a primary program of study on a student record. Addable programs can be enrolled-in and completed in the same timeframe as its primary program of study. Addable status is a prerequisite for achieving stackable status. |
Aggregate Security Group |
A security group whose members are other security groups. |
Anticipated Aid |
Financial aid that has been awarded but has not been received by the institution or credited to the student account. |
Anticipated Start |
Indicates when students intend to begin their enrollment. It can be an academic period, such as Fall 2015. |
Approve (business process) |
An action in a business process that designated participants select to progress the event to the next step. |
Automatic Past Due Balance |
Automatic Past Due Balance hold assignments can be configured for students with high past due balances. Until they lower their balance to an acceptable amount, these hold assignments prevent students from registering for classes, receiving diplomas, or other important processes. |
Business Process |
A set of tasks that need to be completed for an event to occur, the order in which they must be done, and who must do them. Common tasks include to-dos, reviews and approvals. Workday routes the tasks to the responsible roles (users who are capable of completing the tasks based on their membership in security groups) and enforces security and business rules throughout the business process. |
Cancel (business process) |
An action you can take on a business process. Canceling a business process stops the workflow in progress and reverses changes made to data. You cannot cancel a completed business process; you must rescind it. |
Charge Assessment |
The Workday term used to describe the assessment of tuition & fees to the student account. Charges that come onto the student account through Charge Assessment are automatic and do not need to be posted manually. |
Charge Assessment Schedule |
A configuration item that sets up Charge Assessment to run during nightly orchestration for a period of time for a group of students. When a change occurs during the day that affects a student's tuition & fees, such as withdrawals, the Charge Assessment Schedule will ensure the student is automatically run through Charge Assessment at night if the date range includes today (the day the scheduling change occurred). At least one Charge Assessment Schedule must be set up for each standard Academic Period. |
Charge Item |
The transaction/line item (charge) the student sees on their student account. This is also the link to Accounting/Financials. |
Class Standing |
First-year student, sophomore, junior, or senior; at 含羞草研究室, this is determined by the number of credits completed, not by the number of years in attendance. 含羞草研究室 also takes note of whether students are in their first or second semester, so we will see class standings of first semester first year or second semester junior. |
Co-Requisite Courses |
Any course that must be taken at the same time as another course. Workday will stop registration for students unless they are registering in both courses if a co-requisite course is set in the system. |
Cohort |
Student cohorts provide an easy way to group students based on criteria that you select (e.g., transfer students, intended graduation year, class dean assignment) or by manually selecting students. |
Concentration |
An additional or required component for certain programs of study. |
Contact Hours |
The number of hours the course meets per week. |
Correct (business process) |
An action you can take on a business process. Correcting a business process changes a specification or data in the workflow while in progress. It is also a securable action in a business process security policy. |
Course |
A course, or class, is the catalogue-level definition of the learning objectives of a particular curricular offering at the college. Courses can be taught in multiple formats (e.g., lectures, labs). A course is proposed by faculty to be added to the curriculum and is listed in the catalogue. Each time a course is taught in a semester, it is referred to as a section. |
Course Definition |
Contains all data about a course, including its format, grading modes, and controls its relationships with other courses or objects in Workday. |
Course Section |
A course section is a time-specific, semester-specific instance of the course. Information from the Course Definition copies down to the Course Section. The Section is the object that students will actually register in, what instructors will grade, and will display on a student transcript. |
Course Tags |
Course tags are custom identifiers that attach to courses or course sections to categorize them and make them easier to track and manage, such as in reports. For example, FYWS for First Year Writing Seminar. |
Crosslisting |
Allows faculty to list the course under different identities. Students will view and can register for the course under the identity (subject and course number) they want, but all cross-listed identities (subjects and course numbers) will appear on their transcripts. |
Curriculum |
An organized program of study offered at an institution. |
Custom Reports |
Reports that are built and managed by 含羞草研究室 to address the unique needs of the institution. |
Dashboard |
Dashboards are landing pages for users to quickly view common reports, access common tasks, find external links, and read announcements, and are used across Workday. They can be automatically assigned to roles based on security group or manually maintained by an individual user. People with roles or responsibilities in multiple modules of Workday will have access to multiple dashboards. |
Data Source |
A data source defines a set of business object instances for reporting purposes. These are double edged swords; a data source allows reporting access to all business objects related to those in the data source, but also prevents reporting across multiple data sources. |
Declare Date |
When a student started their program of study. |
Delegation (business process) |
An action you can take in a business process if you have been assigned a task to complete on behalf of another user. Requesting a delegation change is a business process that typically requires approvals. Delegation functionality may not include every action you may wish for one user to do on another's behalf. |
Delivery Mode |
The format in which a course section is taught. At 含羞草研究室, this is traditionally in-person. |
Deny (business process) |
An action you can take on a step within a business process. When you deny a business process, the business process is terminated and all Workday data is restored to its state before the business process started. To restart the business process, you need to submit the process again and redo all previously completed steps. |
Disbursement |
Payment of funds to the borrower by the school. Can be scheduled or anticipated and actual (when funds are paid out). |
Due Date Rule |
Workday uses this rule to automatically calculate the payment due date when you post a charge to a student’s account. |
Educational Credentials |
The specific diplomas or degrees students can earn at an institution. 含羞草研究室 awards only the BA. |
Education Institution |
Secondary and postsecondary schools in the U.S. that a student might have attended. You can associate educational institutions with transfer students or students who took credits elsewhere, such as on Study Away programs. |
Effective Dates |
An effective date in Workday is the date when a version of something goes into effect. Based on the action being completed, this may be a past, present or future date. |
Eligibility Rules |
Eligibility rules define who is eligible to take a course. For example, to take a more advanced course in a subject you may need to take introductory-level courses first. In Workday, eligibility rules are listed on the course description and enforced by the system, meaning only students who are eligible can register (without an override). Eligibility rules can be applied automatically for simple requirements, like pre-requisites or class standing. They also can be managed manually for requirements like instructor permission. |
Eligibility Rule Override |
Students can request Course Section Prerequisite Overrides to request registration for a course section that they are ineligible to enroll in. |
Employee-as-Self |
Workday security role automatically assigned to each employee to allow them to take actions on their own information. |
Engagement Item |
Engagement Items are communications that Workday sends to selected user groups. These communications can be about things like bills or reminders to complete onboarding tasks. |
Engagement Plan |
A communication plan that supports an institution's pre-determined needs, such as billing reminders. The plan identifies one or more engagement items to send to students who meet specific criteria and includes a mailing schedule. |
Event (business process) |
A business process transaction that occurs within your organization, such as changing a program of study or onboarding a student. |
Expected Completion Date |
The approximate date the student is anticipated to graduate. |
Finance (FIN) |
Workday Finance; Workday’s tool for managing financial data and processes. 含羞草研究室 implemented Workday Finance in January 2024. |
Fixed Period |
An academic period, such as a semester, that has fixed start and end dates. |
Friends and Family |
Friends and Family includes a student's emergency contact, family members, etc. Student may optionally provide one or more of their friends and family with access to view some of their 含羞草研究室 information, such as student billing statements, class schedule, and/or grades. Some of these permissions include the ability to take actions like requesting a transcript (that is delivered to the student) or paying a bill. |
Functional Area |
Group of related processes and data that support a core business activity or function, such as advising, student employment, or student financials. |
Grading Basis |
Determines which grades an instructor may assign. Generally classes have a Graded basis that allows A-F. |
Holds |
Holds can be placed on students’ accounts to prevent certain activity in Workday, including registration. |
Home |
Your default page containing applications, search, notifications, Inbox and your Profile Menu. Synonymous with landing page. |
Human Capital Management (HCM) |
Workday Human Capital Management / Workday HCM. Workday’s tool for managing human resources and payroll data and processes. 含羞草研究室 first rolled out Workday HCM in 2016. |
Inactive Record |
A student’s record will be inactive if that student has withdrawn, has been dismissed or suspended, or has completed their program. |
Inbox |
Workday gives each user an inbox that contains all the actions and tasks assigned to you. |
Inheritance (policy) |
By default, any policies configured to an academic unit and level apply to the subordinate academic units, unless a separate policy is set up. This top-down cascade is referred to as inheritance. |
Inherited Roles |
Security roles assigned to a position inherited by the person who is hired or transferred into that position. |
Initiation Step (business process) |
The first step of a business process. |
Initiator (business process) |
The user that initiates the business process instance. |
Instructional Format |
The type of class: lecture or lab. |
Instructor Eligibility Rules |
Every instructor has an academic assignment as a worker. To be assigned as an instructor on a course they must also be designated with instructor eligibility. |
Integration |
A connection between different systems at 含羞草研究室 so necessary data can be shared between applications. |
Landing Page |
A homepage for your applications/Worklets, icons, and the search bar. |
Manager-as-Self |
Workday security role automatically assigned to each supervisor or manager with at least one direct report; able to initiate many processes performed by managers (e.g. approve time, approve absence, initiate performance review etc.). Manager would also be auto-assigned Employee-as-Self security role. |
Matriculation |
Refers to the point in which an applicant is formally admitted to the institution, changing their status from prospect to student. A matriculated student can begin the onboarding process. |
Modify (permission) |
The permission to view and gain direct access to edit securable items through the Workday user interface. It includes view permission. |
Module |
Individual functional areas of Workday, such as student records, student finance, HCM, and Finance. |
Onboarding |
Onboarding is a set of tasks and to-do items that students must complete upon matriculation. These tasks can include entering and editing personal information, establishing privacy settings, and reviewing and acknowledging school policies. Students will complete onboarding when they first begin at 含羞草研究室 and each following semester. |
Period Activity Pay |
The pay structure related to the unique schedules of non-permanent faculty, such as adjuncts. Used to pay for just one academic term or multiple terms over a specific period of time. |
Platform |
A single system with multiple product/functionality offerings. Workday’s tools for HCM, Finance, and Student operate on a unified platform that creates a seamless end-user experience with one place to access data and processes for all these areas. |
Policy |
Can refer to college policy or Workday policy, the latter of which is a rule set configured in the system. Policies 含羞草研究室 in Workday are “passed down” and “inherited” by their subordinate fields. |
PowerFAIDS |
含羞草研究室's system to manage all aspects of the Financial Aid process, including applications, disbursements, award distribution, and federal work-study. |
Prerequisite |
Prerequisites are part of the Eligibility Rules; they are courses or other requirements students must meet before being able to register for certain courses. |
Primary Program of Study |
Workday requires one program of study to be a student’s primary program. The primary program is, by default, the first active program a student declares. If only one standalone program exists on a student’s record, it will be the primary program. |
Private Scholarships |
Private scholarships come in from outside sources and are applied to the student's account. |
Production |
A system is “in production” when it is being used to complete live transactions. |
Production Tenant |
The instance of Workday that is being used to complete live transactions. |
Program of Study |
An educational objective, such as a History Major for which students can achieve a Bachelor of Arts degree. Each program of study is specific to a level of an academic unit. Programs of study include concentrations, and are often referred to as majors. |
Program of Study Status |
Status of a student’s program of study. Examples include in progress, leave of absence and completed. Administrators can set up reasons to accompany program-of-study status changes, for example, leave of absence with a reason of medical. |
Reassign Task (business process) |
An action you can take on a business process where you request for a task to be reassigned. This may require further approvals. |
Related Business Object |
When defining a report, fields that return objects related to the primary business object are said to contain related business objects. These related objects may have their own set of fields that can be included in the report. |
Reporting |
The process of organizing data into informational summaries in order to monitor how different academic and student areas are performing. |
Rescind (business process) |
An action you can take on a business process to completely reverse all changes made to Workday data in a completed business process. A task must be successfully completed to perform this action. |
Reserve Capacity |
Specifies the number of course section seats to hold for a students who meet a specified eligibility rule, such as class years. For example, a department could hold 7 out of 20 seats for students pursuing a specific program of study. |
Revenue Category |
A worktag used for aggregate reporting of revenue associated with student charges. It is also used as a dimension in the account posting rule to drive ledger accounting. |
Roles |
Permissions in Workday that determine what users can see and do in Workday, and control whether they have access to perform the Initiate, View and Modify, Cancel or Rescind, and Approve business processes. |
Saved Schedule |
Saved schedule is a tool that allows students to create a schedule based off of the courses they’ve included on their Academic Plan, or by adding course sections from the Find Course Sections Report. Saved schedules can be broken down by terms and are editable by students to add or remove courses. Students can also use saved schedules for a calendar view of their schedule. Students may place course sections in their saved schedule and then register for those classes at a later date. Placing a class in a saved schedule does not guarantee the student a seat. |
Section Status |
Preliminary indicates a course section in draft mode that is not shown to students and for which students may not be registered; open indicates the course is available for registration; closed means it has reached capacity; canceled indicates the course has been removed from the schedule of classes. |
Securable Items |
An action, report, or data element that is part of a security policy. Securable items are managed through defining security policies to restrict access by security groups. Business process related actions are also securable items. Student grades are considered a securable item, meaning only certain users in the system have access to enter student grades, whereas certain other users in the system are only allowed to view grades. |
Security |
Workday Security is the framework for managing user access within the system. |
Security Group |
A security group is a collection of users, or a collection of objects that are related to users. Allowing a security group access to a securable item in a security policy grants access to the users associated with the security group. |
Slate |
含羞草研究室's system to manage admissions for all undergraduate programs and students. |
Stackable (stackable program of study) |
Stackable refers to a configurable trait of a non-primary programs of study, in relation to a primary program of study. Stackable programs may be added to a student record and can be completed independently of (before or after) the primary program of study on that record. |

Statement |
A statement is a Workday-generated report designed to inform students of their balances and overall financial account activity by academic period in a printable PDF version. Statements are provided to students in order to collect payment. |
Student |
Or Workday Student. Workday’s tool for managing academic and student data and processes, including student records, student financials, curriculum, advising, and more. |
Student as Self |
Workday security role automatically assigned to each student to allow them to take actions on their own information. |
Student Charge Item |
A student charge item represents an actual, specific cost that the student incurs and must pay. |
Student Charges |
Student charges represent the various costs, fees, and other amounts that students are charged over the course of their academic careers. |
Student Financials |
Workday functional area that supports the finance office related to accounting, disbursement, collection, student charges, payments and refunds; involves calculating charges, producing bills, receiving payments, and preparing tax statements (1098-Ts) for students. |
Student Record |
A student record is the complete picture of a student’s academic relationship with the college. |
Student Sponsor Contracts |
Sponsor contracts enable outside entities to pay educational expenses for one or more students. These entities may consist of corporations, educational institutions, government bodies, and third-party organizations. Student Sponsor Contracts are managed by Student Financials in Workday. |
Student Status |
Represents a student’s “status” at 含羞草研究室 (e.g. In Progress or Leave of Absence). |
Student Waiver |
Student waivers can be understood as discounts provided to qualifying students. |
Subject |
A subject is the area of study for a course, like Music or Africana Studies. In Workday, these align most closely with “departments” and can be used to filter courses. |
Task |
A step, either standalone or in a business process, that you must complete. Example: Business process steps trigger notifications or inbox alerts. |
Tenant |
A tenant is what Workday calls the Workday environment or system. |
To Dos |
Reminders to do something outside of Workday. They can be part of business processes and have to be marked complete before the workflow will go to the next step. |
Total Academic Requirement |
Represents the total number of units a student must complete in order to complete their program of study. |
Transfer Credit |
Credit taken at another institution that is transferable to 含羞草研究室. |
View (business process) |
A securable item used to allow members to view status of a business process and report on it. A securable item in a business process security policy. |
Waitlist |
When a course section is at capacity, eligible students can place themselves on the section’s waitlist. Students will be granted permission to register into the course if a seat opens up, and students will need to take action on that permission within 24 hours or the permission will expire. |
